Cancellation Policy
Applicability
This Cancellation & Refund Policy applies to bookings made directly with Uttarakhand Trails unless a different cancellation policy has been specifically provided in writing for a particular trip, trek, tour, accommodation or service. Where a booking-specific cancellation policy has been provided and accepted by the traveller, that policy will apply to that booking.
Booking Confirmation
A booking is considered confirmed only after the required advance/payment has been received and the booking has been confirmed by Uttarakhand Trails. Payment of an advance amount does not automatically mean that the amount is fully refundable. Refund eligibility depends on the applicable cancellation terms.
Cancellation by the Traveller
All cancellation requests must be made in writing through email or another communication method accepted by Uttarakhand Trails. The effective cancellation date will normally be the date on which the cancellation request is received and acknowledged by Uttarakhand Trails. Any refund will be calculated according to the cancellation policy communicated for the specific booking.
Booking-Specific Cancellation Policy
Different trips may have different cancellation terms depending on:
- trek permits;
- accommodation commitments;
- transportation bookings;
- local service providers;
- peak-season demand;
- group size;
- government charges;
- advance payments made to third parties; and
- the nature of the trip.
The cancellation terms applicable to your booking will be communicated before or at the time of confirmation. Travellers are advised to review those terms carefully before making payment.
Non-Refundable Components
Certain components of a booking may be non-refundable once confirmed or paid to a third-party service provider. These may include, where applicable:
- permits and registration charges;
- government fees;
- transportation cancellation charges;
- accommodation cancellation charges;
- special arrangements;
- advance payments made to local service providers;
- booking or processing charges; and
- other non-recoverable expenses.
Such amounts may be deducted from any eligible refund.
No-Show
If a traveller does not arrive for a confirmed booking without prior cancellation, the booking may be treated as a no-show. No refund will normally be payable for a no-show unless otherwise stated in the booking-specific cancellation policy.
Late Arrival or Early Departure
No automatic refund will be provided for:
- late arrival;
- early departure;
- missing a scheduled departure;
- unused accommodation;
- unused meals;
- unused transportation; or
- voluntarily leaving a trek or tour,
unless specifically agreed in writing.
Cancellation Due to Weather or Natural Conditions
Uttarakhand is a mountainous region where weather and road conditions can change rapidly. A trek, tour or journey may be delayed, modified, postponed or cancelled because of:
- heavy rainfall;
- snowfall;
- landslides;
- floods;
- road closures;
- unsafe trail conditions;
- government restrictions;
- route closures;
- natural disasters; or
- other circumstances affecting traveller safety.
Where possible, Uttarakhand Trails will try to provide an alternative arrangement. Refunds, if any, will depend on the amount recoverable from service providers and the specific booking terms.
Cancellation by Uttarakhand Trails
If Uttarakhand Trails cancels a trip before departure for reasons within its reasonable control, we will communicate the available options, which may include rescheduling, an alternative arrangement or refund of eligible amounts, depending on the circumstances. If cancellation is caused by circumstances beyond our reasonable control, refunds will be limited to amounts that can reasonably be recovered from suppliers and service providers, unless otherwise required by applicable law.
Changes to an Itinerary
A change in route, accommodation, transportation or itinerary does not automatically constitute cancellation of the trip. Where a change is necessary because of weather, safety, government restrictions or other circumstances beyond reasonable control, Uttarakhand Trails may provide a reasonable alternative where possible.

Refund Processing
Approved refunds will generally be processed to the original payment method, where practical. The time required for the refund to appear in the traveller’s account may depend on the bank, payment gateway or financial institution. Any applicable transaction or payment processing charges that are non-recoverable may be deducted where legally permissible and where disclosed as applicable.
Partial Refunds
Where only part of a booking is cancelled or unused, any refund will be calculated based on the recoverable value of the unused services and the applicable booking terms.
Transfer of Booking
Transfer of a booking to another traveller is not automatic and may be allowed only with prior written approval from Uttarakhand Trails. Any additional permit, accommodation, transportation or administrative charges resulting from a transfer may be payable by the traveller.
Travel Insurance
Travellers are strongly encouraged to obtain travel insurance covering trip cancellation, medical expenses, emergency evacuation, delays and other relevant risks. Uttarakhand Trails is not responsible for costs that could reasonably have been covered by appropriate travel insurance.
