These Terms & Conditions govern your use of the Uttarakhand Trails website and your booking or participation in trekking, tours, yatras, travel experiences, accommodation and other services arranged by us. By using our website, submitting an enquiry, making a booking or participating in any service arranged by Uttarakhand Trails, you acknowledge that you have read, understood and agreed to these Terms & Conditions.

About Uttarakhand Trails

Uttarakhand Trails is a travel and trekking service provider offering trekking trips, pilgrimage journeys, tours, mountain experiences, accommodation arrangements and customised travel itineraries in Uttarakhand and other destinations as specifically mentioned in our offerings. Some services may be provided directly by Uttarakhand Trails, while certain services such as accommodation, transportation, porters, local support staff, guides, permits or other activities may be provided through independent local or third-party service providers.

Bookings and Confirmation

A booking is considered confirmed only after:

  • the required booking information has been received;
  • the applicable advance/payment has been received; and
  • Uttarakhand Trails has issued a booking confirmation or otherwise confirmed the booking in writing.

An enquiry, quotation or availability request does not by itself constitute a confirmed booking. Availability of accommodation, transportation, permits, guides and other services is subject to confirmation.

Payments

Payment terms may vary depending on the trip, accommodation, trek or service booked. The applicable payment schedule will be communicated to the traveller before confirmation. Unless otherwise specified in writing, the booking is not considered confirmed until the required advance payment has been received. Any applicable bank charges, payment gateway charges or transaction-related charges, where communicated in advance, may be payable by the traveller.

Prices

Prices displayed on the website, social media, brochures or other communication may change from time to time. The price applicable to a confirmed booking will be the price communicated and accepted at the time of booking, subject to any clearly communicated additional charges arising from changes requested by the traveller or circumstances beyond our control. Prices may vary depending on group size, travel dates, accommodation category, transportation requirements, permits, government charges and other operational factors.

Itinerary

All itineraries published on our website are planned based on expected travel conditions. Mountain travel is subject to weather, road conditions, trail conditions, local regulations, permits, government instructions, natural events and other circumstances beyond our control. Uttarakhand Trails reserves the right to modify the route, schedule, accommodation, transportation, activity or sequence of an itinerary when reasonably necessary for safety, operational or other legitimate reasons. Where a significant change is required, we will make reasonable efforts to inform the traveller as soon as possible.

Trekking and Adventure Activities

Trekking and high-altitude travel involve inherent risks, including but not limited to:

  • difficult terrain;
  • steep or slippery trails;
  • altitude-related problems;
  • cold and changing weather;
  • snowfall;
  • rain;
  • landslides;
  • falling rocks;
  • river crossings;
  • road conditions;
  • limited medical facilities;
  • delays or route changes; and
  • other natural or environmental hazards.

Travellers are responsible for honestly informing Uttarakhand Trails about any relevant medical, physical or dietary requirements that may affect their participation. Travellers should assess their own fitness and suitability for the chosen trip and seek appropriate medical advice where necessary. Uttarakhand Trails may advise or require a traveller to discontinue or modify an activity where continuing may present a serious safety risk.

Medical and Emergency Situations

Travellers are responsible for carrying any medicines or personal medical equipment they require. In the event of an emergency, Uttarakhand Trails and its local partners will make reasonable efforts to assist with available evacuation, transportation or medical arrangements. However, emergency response in remote mountain areas may be affected by weather, terrain, communication, road access and availability of local resources. Any emergency transportation, medical treatment, evacuation or related expense shall be payable by the traveller unless expressly covered under a separate written arrangement or insurance policy.

Travel Insurance

Travel insurance is strongly recommended for all travellers participating in trekking, adventure, pilgrimage and mountain travel. Where appropriate, travellers should consider insurance covering medical expenses, emergency evacuation, trip cancellation, delays, loss of baggage and other travel-related risks. Uttarakhand Trails does not automatically provide travel insurance unless specifically stated in writing.

Transportation

Transportation may be arranged through independent vehicle operators or local transport providers. Vehicle type, route and travel time may vary depending on road conditions, availability, weather, local restrictions and operational requirements. Travel times provided in itineraries are estimates and are not guaranteed. Additional transportation required due to circumstances beyond our control may result in additional charges where applicable.

Accommodation

Accommodation provided as part of a package is subject to availability and the category mentioned in the booking confirmation. Photographs shown on the website are intended to provide a general representation and actual room, view, facilities or surroundings may vary depending on the property and season. Check-in and check-out times are subject to the property’s applicable policies.

Porters, Guides and Local Service Providers

Where porters, guides, drivers, cooks or other local staff are included in a package, their services will be provided according to the itinerary and inclusions communicated at the time of booking. Where such services are not included, the traveller may be required to arrange and pay for them separately. Availability of local services in remote areas cannot always be guaranteed.

Permits and Government Restrictions

Certain trekking routes, pilgrimage destinations and protected areas may require permits, registrations or other permissions. Where applicable, Uttarakhand Trails may assist with the process according to the agreed itinerary. Final approval remains subject to the relevant government department, local authority, forest department, temple authority or other competent authority. If a permit or entry is refused, restricted or suspended by the competent authority, the itinerary may need to be changed.

Traveller Responsibilities

Travellers agree to:

  • provide accurate personal and travel information;
  • follow reasonable safety instructions;
  • follow local laws and regulations;
  • respect local communities, customs, religious places and the natural environment;
  • maintain appropriate behaviour during the trip;
  • take care of their personal belongings; and
  • inform Uttarakhand Trails about any relevant requirements before travel.

Personal Belongings

Travellers are responsible for their own luggage, valuables, electronics, documents, money and personal belongings unless loss or damage is directly caused by the proven negligence of Uttarakhand Trails. Travellers are advised not to carry unnecessary valuables during treks or remote travel.

Changes Requested by the Traveller

Any changes requested after booking, including changes to dates, accommodation, transportation, itinerary, group size or other services, are subject to availability and may result in additional charges. Changes are not confirmed until accepted by Uttarakhand Trails in writing.

Cancellation and Refunds

Cancellation and refund requests are governed by the Cancellation & Refund Policy applicable to the booking. Different services or trips may have different cancellation conditions. Where a booking-specific cancellation policy has been provided in writing, that policy will apply to the booking.

Force Majeure

Uttarakhand Trails shall not be responsible for delays, cancellations, interruptions or changes caused by circumstances beyond reasonable control, including but not limited to:

  • extreme weather;
  • heavy snowfall;
  • landslides;
  • floods;
  • earthquakes;
  • road closures;
  • government restrictions;
  • strikes;
  • civil disturbances;
  • epidemics or public health emergencies;
  • natural disasters;
  • closure of trekking routes;
  • permit restrictions;
  • changes in local regulations; or
  • other unforeseen circumstances.

Where possible, Uttarakhand Trails will make reasonable efforts to provide an alternative arrangement.
